How to Use Folders to Manage Digital Signage Media?
Learn how to upload, sort, and reuse content in EasySignage Media Assets using folders, tags, search, and filters.
What is Media Assets?
Media Assets is the media library where your videos, images, and PDF files live. Upload a file once and reuse it across as many playlists as you like, without uploading it again. Files you import into a playlist also appear here, so everything is managed in one place.
One thing to know before you start deleting: a file deleted from Media Assets is deleted from every playlist that uses it.
How do I upload media?
- Click Add Media
- Click Upload Media Assets
- Choose files from your device, Dropbox, OneDrive, or Facebook
- Wait for the upload to finish, then click Done
How do I create folders?
- Click Add Media
- Click Add Folder
- Type the folder name
- Click Add
Subfolders work the same way: open a folder first, then click Add > Add Folder while inside it. To rename or delete a folder, click the settings icon in its top right corner.
How do I move files into folders?
- Tick the checkbox in the top left of a media asset to select it
- Select one or several assets
- Click the Move to drop-down and choose the destination folder
Use the navigation bar to move between folders or return to the top level. To upload straight into a folder, open it first, then click Add > Add Media Assets.
How do I find a file quickly?
- Type in the search box to filter media and folders by name
- Use the filter buttons to show all files, images only, or videos only
What else can I set per file?
Hover a media item and click the settings icon in its top right corner. From there you can rename it, delete it, enable proof of play, and add tags. Click Save to apply.
Tags are worth setting here rather than later, since they are what lets one playlist show different content on different screens.
How should I structure folders?
There is no enforced structure, so pick one that matches how your content is replaced. Folders per location work well for multi-site networks, folders per campaign suit retail and promotions, and folders per department suit internal communications. What you want to avoid is a single flat library, which becomes unworkable once a few hundred files build up.
